Guidelines
Thank you for your interest in the Midpeninsula Regional Open Space District’s upcoming coffee table book being produced in celebration of the District’s 40th anniversary in November 2012. As a reminder, the coffee table book will feature art, poetry, and photography celebrating the beauty and diversity of the District's open space preserves.
Through a public Request for Proposal process, the District has selected Heyday Books in Berkeley for the publishing, production, distribution, promotion, and sales of our coffee table book. The publisher's submittal details are stipulated below.
DEADLINE FOR ARTWORK & POETRY SUBMITTALS:
Friday, December 31, 2010 by 5:00 p.m. Pacific Standard Time

- Electronic files can be sent as an attachment. Each message has a 10 MB size limit.
- Hard copy or CD files can be mailed to the Administriative Office at the address above.
- Participants can also make arrangements in advance to deliver items in person.

ARTWORK SUBMITTAL GUIDELINES:
Line Art (black with extremely sharp edges and no grays)
Digital files are preferred, but original art, photos, or slides are acceptable: we will make arrangements to transfer them to digital format. For digital files submitted:
- Format: Tiff format for Macintosh (do not use LZ compression) or EPS. File names should have a .tif or .eps extension. Tiff and EPS are format options for saving your art.
- Resolution: 600 dpi minimum. DPI = dots per inch, when you scan your piece of art. This is stated in your image size.
- Scale/Size: 100% of final reproduction size (our book page dimensions are 12 inch x 9 inch landscape (binding on the 9 inch side). Use the size of the largest dimension, i.e. 12 inches minimum.
Other Artwork Images and Related Photos
Digital files are preferred, but original art, photos, or slides are acceptable: we will make arrangements to transfer them to digital format. For digital files submitted:
- Format: Tiff or EPS files are preferred. JPEGS saved at “maximum” size are also acceptable. File names should have a .tif, .eps, or .jpg extension. Tiff, EPS, and JPEG are format options for saving your art.
- Resolution: All images need to be at least 300 dpi; 400 dpi is preferred. DPI = dots per inch, when you scan your piece of art. This is stated in your image size.
- Scale/Size: 100% of final printed size (our book page dimensions are 12 inch x 9 inch landscape (binding on the 9 inch side). Use the size of the largest dimension, i.e. 12 inches minimum.
- Files should be provided in RGB mode. When you scan your artwork, this will be how your scanner will read the art. Do not change this.
- Please be aware that scanning or adjusting your images with Photoshop can adversely affect their quality, and may render them unsuitable for printing. Most problematic is the “sharpening” feature.
- Do not resample your image to a higher resolution as it produces inferior results. Rescanning the image at a higher resolution is recommended.

POETRY SUBMITTAL GUIDELINES:
Poetry submissions are welcome; there are no restrictions on style. Please provide in a MS Word document.
ARTWORK & POETRY FROM ASPIRING YOUNG ARTISTS:
- Artwork and poetry submissions from young artists (Kindergarten through Grade 12) are welcome.
- Crayons, colored pencil, and paint drawings are acceptable.
- For children interested in submitting artwork or poetry, a consent form
containing the consent of their parent or legal guardian to the Artwork & Poetry Submittal Terms and Conditions and to the Legal Conditions will need to accompany their submissions.

PHOTOGRAPHY SUBMISSIONS:
Photography for the coffee table book project will be considered for inclusion via the District’s Annual Digital Photo Contest. Due to the book production timeline, the Third Annual Digital Photo Contest, launched on August 20, 2010, will be the last opportunity to submit photos for consideration in the District’s coffee table book. (Past photo contest entries will be considered for the coffee table book as well.) For more information, visit the Digital Photo Contest page. The deadline for submissions (photos must be uploaded online) is Tuesday, March 15, 2011 by 11:59 p.m. Pacific Standard Time.

For any artwork, poetry, or photography submitted, please be sure to include a brief caption describing the story behind the art, poetry, or photo.
A REMINDER ABOUT WHAT THE DISTRICT IS LOOKING FOR:
- Compelling artwork featuring the wonders of nature on the District’s open space preserves, including natural landscapes, wildlife, plant life, seasonal weather, or people interacting with nature.
- Images reflecting a wide range of habitats across District lands, including riparian, grassland, chaparral, and redwood environments.
- Desired formats include hand sketches/line drawings, watercolor, acrylic, or oil painting.
- Please visit the Preserves page for a listing of District open space preserves. Submitted artwork, poetry, and photography must feature District open space preserves.

LEGAL NOTE:
Artwork and poetry selected to be featured in the District's coffee table book will be subject to the Terms and Conditions and to the Legal Conditions as outlined by the District. By submitting artwork or poetry to the District, you are accepting and agreeing to the Terms and Conditions and to the Legal Conditions.
For children interested in submitting artwork or poetry, a consent form containing the consent of their parent or legal guardian to the Artwork & Poetry Submittal Terms and Conditions and to the Legal Conditions will need to accompany their submissions.
Similarly, by entering the Annual Digital Photo Contest, you are accepting and agreeing to all contest rules, terms, and conditions (“rules”), and to the Legal Conditions.
If you choose to include people in your submission, you are responsible for obtaining the necessary releases from the individuals depicted, and must be able to provide copies of those releases to the Midpeninsula Regional Open Space District upon request.
Employees and current Board members of the Midpeninsula Regional Open Space District are not eligible to participate.

SELECTION PROCESS:
Between January – March 15, 2011, a panel of District staff will review artwork, poetry, and photography submissions for possible inclusion in the coffee table book. All parties who make submissions will be notified whether their artwork, poetry or photography was selected for inclusion in the coffee table book. As there will also be some negotiation with the publisher in this regard, participants may not be notified of the final selections until approximately November 2011.
